1. Pre Arrival Information For International Students

Students should make sure about the following points before leaving their home country.

Pre Arrival Information for International Students at Monad University:

(a) Booking Flight and Visa.

i. Book your ticket to Delhi International Airport after obtaining a valid student visa from the Indian Embassy or High Commission.

ii. Ensure that you have a valid student visa before arriving in India.

(b) Vaccinations.

Take all required vaccinations like Yellow Fever, Typhoid Vaccine and Hepatitis Vaccine etc. to avoid medical complications in India.

c) Airport Pickup.

Inform the Monad University International Student Cell at least two weeks prior to arrival and provide flight details for airport pickup arrangements.

(d) Documents and Photographs.

Bring the Offer cum Admission Letter issued by the University along with all original certificates, degrees and transcripts, as well as 12 passport size photographs.

(e) Currency and Money.

Carry money in the form of Travellers Cheques, which can be easily redeemed at the airport, foreign exchange offices and banks or use International Debit/Credit Cards.

(f) Weather and Clothing.

India has a hot summer (30-45°C) and mild winter (5-25°C) season. Bring warm clothing for winter, which starts around November.

(g) Essentials and Shopping.

Although everything is available in India, try to get essentials during the initial few days. University tuck shops and nearby markets can provide what you need.

(h) Electricity and Adapters.

India uses 240 V electricity, so ensure you have an adapter for your mobile or laptop if it operates on a different voltage. Also, carry a converter if required for 2 or 3-pin sockets.

(i) Hostel Facilities.

To secure accommodation at Monad University, interested students should send the necessary information via email along with the booking amount when confirming their admission. Room allotment is done on a first-come, first-served basis.

2. Post Arrival Information For International Students

Students should make sure about the following points after arriving in India

After reaching Delhi International Airport, university will arrange airport pick-up for students who have shared their flight details with International Student Cell.

Reporting and Registration Process for International Students at Monad University.

(a) Reporting and Document Verification.

(i) Upon arrival, students will report to the International Student Cell (ISC) with all required documents.

(ii) ISC staff will verify the documents and students will fill and submit the registration form after carefully reading it to complete the registration process within 2-3 days for their respective programmes.

(b) Registration Process and Student Support at Monad University.

(i) Essential Information and Roles.

(ii) During the registration process, ISC ensures that students are provided with essential information about ISC roles and responsibilities, university rules and regulations, and student support to foster a better understanding among students.

(iii) Post-Verification and Registration.

(iv) After verification and registration, students receive a unique admission number along with payment proof.

(v) Students are guided to report to their programme coordinators for further formalities, including:

  • - Online or offline registration
  • - Timetable
  • - Classroom allotment
  • - Syllabus
(c) Student Visa Registration.

(i) It is mandatory for all international students except those from Nepal and Bhutan to register their Student Visa at FRRO/FRO Noida or New Delhi within 14 days of arrival in India.

(ii) The university will guide and assist students with the necessary processes.

(d) Medical Check-up and Insurance.

Students will report to the ISC for a medical check-up and can collect their Medical Insurance Card.

(e) Late Reporting.

(i) Students joining the university after the prescribed time period may be denied admission.

(ii) It is the student's prime responsibility to visit the ISC in time to complete the required documentations, avoiding any fines.

The International Students Grievances Wing at Monad University is responsible for addressing and resolving issues faced by international students. Students can submit their grievances in writing to the International Student Cell (ICS), which works closely with concerned departments and top management to resolve these issues.

Who should be my first point of contact upon arriving at the university?

Upon your arrival at Monad University, your initial point of contact should be the personnel at the International Student Cell. You are required to proceed to Block A, Ground Floor, Room No. A05 to complete your registration and joining formalities. What should I do if I anticipate a delayed arrival at the University?

Should you find yourself arriving late to the University post-admission, it is imperative to understand that each day of delay may result in a shortfall in your lecture attendance. To mitigate any adverse effects, it is recommended that you obtain prior written permission by providing a valid justification for your delayed arrival. Your application for permission should be directed to the International Student Cell.

How can I obtain an Indian SIM card for my mobile phone?

To acquire an Indian SIM card, you can visit numerous retail outlets that offer this service, using photocopies of your passport as identification. For detailed guidance and assistance, you are encouraged to contact the International Student Cell.

What accommodations are available for parents accompanying their children to the University?

For parents accompanying their children to Monad University, there are designated rooms in both the girls’ and boys’ hostels for those who have pre-booked accommodations through university-approved hostels. If separate rooms are unavailable, parents may stay in the same room as their child and utilize the hostel dining facilities for a limited period. It is essential to notify the International Student Cell in advance about the parents' arrival along with their ward.

What should I do if I have outstanding documents at the time of admission?

If you are unable to provide certain transcripts or qualification documents at the time of admission, you must submit these documents within one week of your arrival at the University. Students with already declared results are required to present their transcripts and qualification documents during the registration process. For those awaiting results, an undertaking must be submitted, committing to provide the necessary documents within one week of their release. Failure to comply with these requirements may result in the cancellation of your admission or other immediate actions by the University.

Are international students mandatory to reside in on-campus hostels?

International students are not obligated to stay in on-campus hostels. They have the flexibility to choose between on-campus and off-campus accommodations. The University offers both options, but room availability in on-campus hostels is based on a first-come, first-served basis and a booking system. On-campus hostels provide only vegetarian meals, while off-campus hostels offer both vegetarian and non-vegetarian options. Additionally, students living in privately rented apartments have the liberty to prepare their own meals.

What is the process for applying to on-campus and off-campus hostels?

To secure accommodation in either on-campus or off-campus hostels, you should apply in advance, ideally when confirming your admission. The application process involves paying the full annual hostel fee through the International Student Cell.

Are private accommodations available near the University campus? Where can I find a list?

Yes, private accommodations are available near the University campus, often on a shared basis. For assistance in finding suitable options, you can reach out to the International Student Cell, consult with current international students, or connect with international student representatives.

Is it possible to pay the tuition and hostel fees on a semester-wise basis?

Payment of tuition and hostel fees must adhere to the schedule outlined in your offer and admission letter. Please refer to these documents for specific payment details and deadlines.

What are the daily commuting options if I live off-campus in privately rented apartments?In what language

For students residing in Greater Noida or New Delhi, the University provides a daily shuttle bus service. If you are commuting from Hapur, you can take a shared auto-rickshaw to a designated point where you can board the University's shuttle bus for daily transportation to and from the campus.

Does the University enforce a specific dress code or uniform for students?

The dress code or uniform policy varies depending on the academic program chosen by the student. In cases where a uniform is required, it must be purchased from the campus as per program guidelines. Students will be informed about the dress code by their respective school management. If a specific uniform is not mandatory, students are expected to adhere to a common dress code.

In what language are classes conducted?

The medium of instruction in all classes is English.

Is it compulsory for all international students to submit an AIU Certificate upon reporting?

In what language For the purpose of equivalency assessment of qualifying exams, qualifications recognized by the Association of Indian Universities (AIU) will be duly considered. However, if a qualification is not recognized by the AIU, applicants must provide equivalency proof from the Indian High Commission/Consulate in their respective country or from any other relevant statutory body as applicable.

What happens if there are outstanding balances for tuition and hostel accommodation fees?

It is imperative that you promptly settle any outstanding balances in your fee account to avoid potential disruptions. Failure to do so may lead to the blocking of your academic attendance and access to the student portal, as well as incurring late registration fines. Additionally, non-payment could result in missed classes and the subsequent loss of academic progress, along with the possibility of immediate cancellation of hostel accommodation and food services. If you have cleared your fees but your account still reflects dues, please contact the International Student Cell with proof of payment for further assistance.

Is it possible for international students to open a student account?

Absolutely. As an international student, you have the opportunity to open an account at our partnered bank, Indian Overseas Bank Hapur branch. Once your account is established, you can take advantage of the ATM facilities available at various points within the campus. For assistance with the account opening process and to gather the necessary documentation, please contact the International Student Cell. They will guide you through the procedure and ensure a smooth transition.

Am I permitted to wear my national attire on campus?

Absolutely. You are encouraged to proudly showcase your national dress or any other culturally significant items, such as musical instruments, while on campus. These can be worn or displayed during special occasions such as cultural events, international festivals, and stage performances, providing a platform to celebrate and share your unique culture and traditions with the university community.

Is assistance available from the university for my FRRO/Police registration?

Indeed, the International Student Care Officer oversees the FRRO help desk and will provide comprehensive guidance throughout the FRRO registration process. It's worth noting that FRRO/Police verification is mandatory for all students except those from Nepal and Bhutan. Rest assured, you will receive the necessary support to ensure a smooth and hassle-free registration experience.

Am I able to switch programs upon arrival, either before or after registration, with or without fee payment?

The opportunity to switch programs is indeed available upon your arrival on campus, provided it falls within a specified deadline, as announced by the University and detailed in your admission letter. However, this is contingent upon seat availability and meeting the eligibility criteria for the desired program.

What measures are in place to ensure my safety on campus?

Rest assured, your safety is of paramount importance at Monad University. Our campus is under constant surveillance, with dedicated security guards and comprehensive CCTV monitoring operating round-the-clock. Moreover, Monad University proudly maintains a strict policy against ragging, ensuring a secure and welcoming environment for all students.

What is the payment schedule for tuition, exam, and hostel fees?

Students are expected to settle their program and any applicable fees prior to their arrival on campus. Additionally, payment for the subsequent semester or year must be made in advance before the registration of the new session commences. This payment cycle remains consistent throughout the duration of the program for all students.

What are the available payment methods for tuition fees?
For the convenience of both existing and newly admitted students, we offer the following payment modes:

1. Online Transfer within India: Utilize Personal Internet Banking for seamless online transfers via NEFT or RTGS. Upon completion of the transaction, kindly fill in the provided NEFT and RTGS details to ensure smooth follow-up by our accounts team.

2. International Bank Transfer: International students can initiate bank-to-bank transfers from their home country to the university's bank account. To proceed, simply submit an application at your country's branch.

3. Cash Payments: International students have the option to pay their fees in cash, adhering to the yearly limit specified for students. Cash payments can be made either in INR or USD currency. Indian rupees will be accepted at the prevailing fixed rate, as indicated in your admission letter. Additionally, the equivalent dollar to INR rate will be specified therein for your reference.

4. Using PAYTM APP: Students can conveniently utilize the Paytm app for fee payments, ensuring a hassle-free transaction process.

What documentation is required after completing an international bank transfer for fee payment?

Upon completing an international bank transfer, students are required to furnish proof of payment in the form of a swift copy or advice generated by the sender bank. Please note that manually created receipts or deposit slips are not acceptable as proof of transfer. For a sample of the swift copy and further guidance, students can inquire at the International Student Cell.

What steps should I take if the university accounts have not received my fee payment through international bank transfer?

In the event of any unforeseen circumstances leading to a delay in the receipt of funds from an international bank transfer, both parties involved should adhere to their respective obligations. It is imperative that the party initiating the transfer takes appropriate action to rectify the situation and ensure the timely processing of the transaction. Rest assured, the University's accounts and International Student Cell are committed to providing necessary support in presenting evidence of non-receipt of funds from the student's end, based on the submitted swift transfer copy.

Given the nature of international transactions, it is not uncommon for transfers to take several days to reflect in the receiver's account. Therefore, students are advised to exercise patience and await final confirmation from the University.

Please note that registration for new students will only be processed upon confirmation of full and final payment received by the University. Your cooperation and understanding in this matter are greatly appreciated.

Are international students permitted to engage in part-time employment while studying?

Many foreign students who pursue their studies in India often seek out employment opportunities within the country. However, the Indian government restricts international students from engaging in employment during their studies, with exceptions made for Non-Resident Indians (NRIs), Overseas Citizens of India (OCI), and Persons of Indian Origin (PIOs).

While holders of foreign passports are prohibited from working during their study period in India, OCI and PIO cardholders are exempt from this regulation and are allowed to both work and study in the country.

International students are, however, permitted to undertake internships and training as part of their academic programs, though such opportunities are typically unpaid and must be relevant to their course of study. OCIs and PIOs are required to obtain permission from their enrolled university or institute before taking up any part-time employment.

There is no hourly restriction on employment for OCI and PIO students, provided the work undertaken is related to their academic pursuits. Though India does not issue work permits specifically for international students, those seeking post-study work opportunities may be eligible for work permits if they meet the criteria established by immigration authorities and have secured employment with a reputable organization.

Is there a minimum attendance requirement for international students to be eligible for exams?

Indeed, all international students are required to maintain a minimum attendance of 75% throughout the academic session. This criterion ensures active participation in academic activities and facilitates a conducive learning environment for all students.

Is it necessary to procure additional study materials during our academic tenure?

Students are granted access to a sophisticated Learning Management System (LMS) software, offering a comprehensive array of study materials. Furthermore, the campus is equipped with libraries, enriching the academic landscape with an extensive collection of supplementary resources for students' scholarly pursuits.

In the event of an emergency requiring me to return to my home country before completing my studies, will I be eligible for a refund of my paid fees?

Should unforeseen circumstances necessitate your return to your home country, it is imperative to adhere to the established exit process by obtaining permission from all relevant university departments. To navigate this process smoothly, it is advisable to engage with the International Student Cell for guidance and assistance. Please be informed that fees paid in full or in part will not be refunded under any circumstances. However, the university's grievance committee may consider exceptional cases where individuals, who have obtained prior permission, seek fee adjustments for resuming their studies at a later time.

It's crucial to note that international students who fail to report their absence for a specific period to the International Student Cell or their respective school department will not be eligible for fee adjustments or study continuation. In such instances, the university reserves the right to cancel admission or require the student to reapply as a fresh applicant, starting from the first year.

Which document confirms my admission: the offer letter or the provisional admission letter, and do I need to carry both until I complete my studies?

The offer letter is a crucial document provided to you at no cost, serving as an official confirmation of your eligibility for the desired program for a specific session. While the offer letter does not suffice for visa purposes and expires after one month, it contains essential program details such as your name, country, program name, duration, required fees, and bank details.

Conversely, the provisional admission letter, issued by the International Admission Department upon payment of the admission fee, confirms your provisional admission and is a valid document for obtaining a study visa for India. It includes similar details as the offer letter but also provides specific instructions regarding pre and post-arrival information.

It is advisable to retain both documents throughout your academic journey. While the offer letter signifies your initial eligibility, the provisional admission letter holds greater weight for visa purposes and provides detailed instructions for your study journey.

Is there a specific undertaking that requires my signature during registration?

Indeed, as part of the registration process, you will be required to sign an undertaking at the International Student Cell. This undertaking pertains to the information provided to you, ensuring that you have thoroughly reviewed details regarding attendance, fee payments, hostel instructions, and any other relevant matters applicable to your enrollment.

Upon completion of my studies, with my visa nearing expiration and the inability to return to India, how can I obtain my degree?

For international students who have successfully completed their studies and passed all subjects without any backlog, there is a streamlined process in place. Following the publication of results online, students can submit an application to the Controller of Examination cell for the immediate issuance of provisional transcripts.

However, for the receipt of original mark sheets and the degree certificate, international students must await the university's announced deadline. In cases where a student's visa is nearing expiration and there is a delay in obtaining the original degree, the International Student Cell can provide assistance in extending the visa for a specified period.

In the event that a student has returned to their home country and is unable to physically collect their original degree, they can initiate the process remotely. By sending an email from their registered email address with the university to both the Registrar's Office and the International Student Cell, students can request the procurement of their degree through suggested channels. Additionally, they will need to submit an undertaking for the same and bear any associated expenses, if applicable.
